Tasks in TatvaCRM — overview

Updated 31 May 2026·5 min read

Complete overview of the Tasks module in TatvaCRM. Creating tasks, due dates, priorities, recurring tasks, assignment, and how tasks link to contacts, companies, deals, and leads.

Tasks are the future things your team needs to do — calls to make, emails to send, meetings to attend, follow-ups to complete. This page covers the Tasks module in TatvaCRM: creating, assigning, scheduling, and tracking.

Tasks vs Activities
Tasks are future work. Activities are past work. See Activities vs Tasks for the distinction.

Where to find tasks

Tasks live in the Tasks page on the left menu, plus on the Dashboard as “Today’s tasks” and “Overdue tasks” widgets. You also see tasks scoped to a record on the Contact / Company / Deal / Lead detail pages.

What fields does a Task have?

Creating tasks

Three ways:

  • From any record — Contact / Deal / Lead detail page → New Task button. Auto-links the task to the record.
  • Standalone — Tasks page → New Task. Useful for personal admin tasks not tied to a specific record.
  • From an Activity — when you log a call or meeting, you’re prompted to add follow-up tasks. Most natural flow.

Recurring tasks

For tasks that repeat — weekly reports, monthly check-ins, quarterly reviews — set a recurrence rule when creating the task: Daily / Weekly / Monthly / Custom. Each occurrence appears on the assignee’s list on its due date. Completing one occurrence creates the next.

Bulk creating tasks

For e.g. assigning 20 reps a “call your top 5 customers” task each week, use Bulk task assign from the Tasks page. Pick a contact list, pick a task template, pick due-date logic — TatvaCRM creates one task per contact, assigned to the contact’s owner.

Completing a task

  1. Open the task
  2. Click Mark as Done
  3. Optional: log an Activity at the same time (“Call done — outcome: she’ll get back Monday”)
  4. Optional: create a follow-up task

Completed tasks stay searchable. You can also un-complete a task if you marked it done by mistake.

Overdue tasks

Tasks past their due date show in red on the dashboard. Don’t let them accumulate — either complete, reschedule, or delete. A graveyard of overdue tasks is a sign your team isn’t actually using the CRM for daily work.

Common questions

“Can I reassign a task to someone else?”

Yes — open the task and change the Assignee. The new assignee sees it in their list immediately. The original assignee can optionally be CCed for context.

“Bulk-delete completed tasks from last year?”

Filter Tasks by Status = Done + Due date < X. Select all → Delete. Soft delete; recoverable for 30 days. Long-completed tasks are rarely useful for anything but audit history.

“Can I have a task not linked to any record?”

Yes — leave the “Related to” field blank. Useful for personal admin (“send weekly report”, “book hotel for Mumbai trip”). But for sales tasks, always link — context matters.
