Companies in TatvaCRM — overview

Complete overview of the Companies module in TatvaCRM. Fields on a company record, how companies link to contacts and deals, GSTIN handling, multi-location addresses, and managing company groups.

Companies are the organisations your business does business with. If you sell B2B, almost every Deal and most Contacts will be linked to a Company. This page covers the Companies module in TatvaCRM — fields, relationships, GSTIN handling, and the practical operations you’ll do on a daily basis.

Where to find companies

Companies live in the Companies page on the left menu. Default view is a sortable table. Switch to Kanban grouping by tier (A / B / C), or Map view showing companies geographically (uses the city / state on each record).

What fields does a Company have?

Identity

Legal nameRegistered name on the GST certificate. Often differs from brand name.
GSTIN15-character GST registration number. TatvaCRM validates the format on save.
PAN10-character permanent account number.
CINCorporate Identification Number (for registered companies). 21 characters.
Industry / sectorPick from a dropdown. Editable per workspace.
Sub-sectorMore specific classification (e.g. “steel rolling”, “apparel retail”).
WebsiteURL field, validated.

Employee countNumber (range buckets available too: 1-10, 11-50, etc.).

Addresses

Companies can have multiple addresses, each tagged with a type:

  • Billing — where invoices go
  • Registered — legal address from GST / CIN
  • Shipping — where deliveries go (can have multiple — plant 1, plant 2)
  • Other — branch offices, warehouses

Each address has line 1, line 2, city, state, country (ISO-2), pincode. Useful for businesses with operations across multiple cities or states.

Ownership and tags

TasksTasks can be created directly on a Company (“Follow up with Bharati Steel quarterly review”).
FilesDocuments attached to the company — contracts, GST certificates, KYC.

Handling company groups

Indian businesses often have related companies in a group structure (Bajaj Group, Tata Group, family holdings with several Pvt Ltd entities under one promoter). TatvaCRM handles this with:

  • Group tag — apply the same tag (e.g. kothari-group) across all related Companies
  • Parent company field — optional link from a subsidiary to its parent Company
  • Group rollup reports — sum deal values across all Companies sharing a Group tag

Merging duplicate companies

Bulk imports often create duplicates — same company entered as “Bharati Steel”, “Bharati Steel Pvt Ltd”, and “Bharati Steel Rolling Mills”. To merge:

  1. Open the Company you want to keep
  2. Click More → Merge
  3. Search and select the duplicates
  4. Pick which field values to keep (primary vs duplicate)
  5. Confirm — all linked Contacts, Deals, Activities, and Tasks migrate to the kept Company

Common questions

“My customer doesn’t have a GSTIN. Still a Company?”

Yes. GST registration is required only above certain turnover thresholds. Plenty of small businesses operate below it. Add the Company anyway — leave GSTIN blank, update later if they register.

“One customer has 4 plants. One Company or four?”

Usually one Company with four shipping addresses — if they’re all under one GSTIN and one legal entity. If each plant is separately registered, four Companies with a Group tag. See Company vs Contact.

“Can I deactivate a Company without deleting it?”

Yes — change the Company’s tier to “Inactive” (or add an inactive tag). Filter the default Companies view to exclude inactive. Their history stays intact.
